Executive Assistant in Raleigh, NC
Curia provides global contract research and manufacturing services to the pharmaceutical and biotechnology industries.
The Executive Assistant will handle administrative details for Curia's SVPs, VPs, Directors and/or C-Suite Executives including the Chief Executive Officer. The incumbent is also responsible for performing all administrative work including special projects and sensitive operations.

Responsibilities:


  • Support SVPs, VPs, Directors, and/or C-Suite Executives as assigned
  • Filter and prioritize client visits or phone calls, manage the schedules of executives and communicate on behalf of the executive they support
  • Provide administrative assistance, such as writing and editing emails, drafting memos and preparing communications on the executive's behalf
  • Organize, support and maintain large programs for the leadership team and their staff, including hiring consultants and trainers
  • Maintain confidential information including employees, salaries, confidential issues, etc.
  • Make independent decisions on spend
  • Maintain comprehensive and accurate corporate records, documents and reports
  • Perform minor accounting and bookkeeping duties
  • Organize meetings, including scheduling, sending reminders and organizing catering when necessary
  • Manage the executive's day-to-day calendar, including making appointments and prioritizing the most sensitive matters
  • Provide training to other administrative support, maintain administrative related documents and circulate as needed
  • Use various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects
  • Draft memos, presentations, financial and other reports as appropriate
  • Perform word processing activities; format, revise and print out final copies of complex documents for other employees as requested
  • Assist with executive management meetings, customer visits, conferences, and Board of Directors meetings
  • Maintain a highly professional demeanor and facilitate interactions with existing and potential customers
  • Conduct monthly credit card reconciliation for the SVPs and other management personnel
  • Operate and maintain office equipment; arrange repairs through appropriate Company personnel when necessary. Make recommendations for new or additional office equipment as appropriate
  • Coordinate travel arrangements; research and make flight, hotel, and rental car reservations in accordance with Company policies and to obtain most economical and efficient travel. Create travel itinerary and schedules in accordance with authorized travel requests
  • Recommend and implement methods to improve the quality of products and/or services
  • Participate in self-development activities and training of others
  • Exhibit safety awareness and safe work practices

    Qualifications:

    • High School Diploma or equivalent, Bachelor's degree preferred
    • 5-8 years' prior related work experience preferably with C-Suite executives
    • Proficient with Microsoft Office, particularly Word, Excel, and PowerPoint
    • Excellent knowledge of various clerical functions preferred
    • Ability to interface well with all departments of the company and to represent the Chief Executive Officer in a highly professional manner
    • Multi-task oriented
    • Strong verbal and written communication skills
    • Displayed ability to maintain confidentiality and dedication to execute on due dates
    • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
    • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists
    • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form

      Job level will be determined based on candidate qualifications and experience.
