Position Information:

The Administrative Assistant, under minimal supervision, performs various administrative duties including composing and typing sensitive correspondence, proofreading and editing material for accuracy and clarity, ensuring proper usage of grammar and drafting routine correspondences for CV Directors and/or Executive Director of Heart & Vascular Services. Prepares division wide reports using spreadsheets. Responsible for coordinating the scheduling of events, meetings for directors and/or Executive Director and other departments as assigned. Maintains divisional department manuals. Ensures materials are current by working with Directors/Executive Director or Public Relations. Maintains inventory of printed materials to Heart Center, CV Programs & CV Services. Establishes and maintains departmental personnel files. Prepares accurate work orders, invoices, check requests, purchase orders, department bills and maintains records. Enters data for analysis and assists with presentation development. Maintains and monitors system to assure accurate records of licensure and listings. Written and typed material is organized, neat and accurate in form. Proofreads and edits all correspondences for accuracy, consistency and clarity using proper spacing, margins, and pagination. Establishes, maintains, and revises record keeping and filing systems as needed. Distributes designated reports to the appropriate Directors/Executive Director. Monitors department supplies and initiates order for supplies in a timely manner. Attends meetings as designated, takes minutes and distributes to divisional departments after approved by Directors/Exec Director. Coordinates the scheduling of meetings, conferences, departmental orientation, staff on-call schedules, agendas, menus, communications, travel arrangements independently as delegated and keeps Directors/Exec Director informed. Distributes interoffice mail to division departments.

Experience Requirements:

2 Years Administrative Preferred

Education Required:

High School Diploma or Equivalent Required - And Associate's Degree Business Administration Or Secretarial Science Preferred

Monday-Friday varies between 6:30am and 5:00pm
