Duties and Responsibilities
The Global Operations Manager oversees the operations of our 4 current offices, acting as a liaison between the dental offices and practice owners.
Address top growth priorities, focusing on individual practice growth opportunities through optimized scheduling, internal and external marketing
Oversee and manage employees. Oversee annual review process. Compile notes on employees from individual practice leadership team and associate doctors. Give recommendation on raises based on experience and job performance.
Implement and provide necessary training for staff on all global processes and policies. Make necessary recommendations as needed to improve processes.
Oversee Payroll. Review payroll reports for all employees. Ensure team members are clocking in/out as required. Review, calculate, and report payroll for all Dentists
Oversee conversion to centralized billing and call center in the next 6-12 months.
Create dental supply ordering budget for each office. Systemize ordering across all offices. Ensure we are hitting our monthly budget.
Review/analyze KPIs and propose action items to move us toward our goals. Examples include: Ensure collections at all offices are 95% or better. Create systems of accountability to ensure our collection protocols are being enforced, to include payment at time of services, follow-up on outstanding claims, sending statements when necessary. Overhead goal at each office is 50%. Search for inefficiencies and opportunities to hit this goal, primarily through growing production and minimizing expenses/unnecessary spending.
Weekly meetings with practice owners to review practice performance and any concerns, to include financial performance, HR, OSHA/HIPPA.
Provides due diligence on prospective practice acquisitions, to include dental equipment needs, IT needs, software conversion needs, and estimate of overall immediate capital injection necessary to bring practice up to our standards.
Oversees operational conversions on new practice acquisitions, to include administrative and clinical best practices. Managing hand-off from retiring doctor to new owners to include letter to patients, website take-over, marketing campaign to promote new doctor, transfer of accounts, utilities, etc.
Ensure optimal level of customer service and provide efficient training to all staff members to achieve this goal.
Experience:Bachelor's degree (Required)Healthcare: 3-5 years (Required)Operations Management: 3-5 years (Required)Proven experience leading a high performing team.Proven experience identifying and driving growth Healthcare site management preferred, ideally multi-site managementAvailable for moderate travel (travel between offices as needed)
About the right candidate for this position:The right individual for this position will have had management experience in the dental/medical field. Should be proficient with computers and technology. Working knowledge of Open Dental preferred.Should know and understand how an efficient dental office runs. Should also know how to handle and manage people in a way to motivate and support them. You should be able to earn the respect of the staff through positive motivation and have the ability to connect with all types of personalities.
