TITLE: North Carolina Office ManagerLINE OF BUSINESS/DIVISION:
Operations/NC Office--FLSA STATUS: Non-Exempt/ Part-Time (20
hours/week)REPORTS TO:--North Carolina State DirectorNUMBER OF
POSITIONS REPORTING TO THIS POSITION:--0--LOCATION: Chapel Hill,
NC--JOB HIGHLIGHTSThe NC Office Manager provides a wide range of
project support to the North Carolina (NC) Office which includes
Strategic Giving, Resourceful Communities, Working Forest Fund, and
Conservation Acquisitions programs. The position is located in The
Conservation Fund's office in Chapel Hill, North Carolina and is
responsible for all administrative functions to ensure smooth and
efficient operation of the office, including the responsibilities
outlined below.----WHAT YOU WILL BE DOINGTo perform this job
successfully, you must be able to perform each essential duty

functions.--ADMINISTRATIVEServes as primary contact for office
visitors, deliveries, and solicitations.Purchases supplies,
equipment and furniture as needed for office, programs and
projects.Maintains office machines, including printers, copiers and
postage, and arranges for service as needed.Primary point of
contact with landlord regarding building maintenance
issues.Provides new employees, interns, volunteers and/or
consultants office keys, as appropriate. Updates employee/ office
guidelines and new hire process as needed.Picks up mail daily;
sorts and distributes. Processes outgoing mail, express mail and
other shipments, including Federal Express, UPS and any other
shipping services required.Provides administrative support to the
North Carolina Office staff including, but not limited to,
organizing and maintaining accurate filing systems as needed,
managing car rental accounts, maintaining office calendar,
scheduling staff meetings, and coordinating staff lunches and
holiday events.Coordinates office allocation, furnishings and any
moving-related functions as staff offices change over time.Performs
other office management duties and administrative duties as needed
for efficient, effective operation of office and
programs.Coordinates in-office meetings (such as NC Office
meetings, NC Office program lead meetings) and occasional offsite
events.--INFORMATION TECHNOLOGYCoordinates with The Fund's IT
Department and with computer services vendor to maintain server,
back up files, and troubleshoot staff technology issues.Coordinates
with The Fund's IT Department on Office 365 Cloud Services and
other enterprise software; provides software support to program
staff as needed.FINANCIAL MANAGEMENTManages bills for office
expenditures. Prepares check requests for payment of
expenditures.--Allocatesexpenses among the Fund's NC-based programs
as appropriate.Coordinates with The Fund's national office finance
staff on financial--matters.Works with State Director to prepare
annual budget for North Carolina office and
tracks--expenditures.--WHAT WE NEED YOU TO HAVEOne-two years'
minimum experience in an office setting.Excellent organizational
skills; detail-oriented, with the ability to prioritize and
multi-task.--Ability to troubleshoot basic computer hardware,
software and network problems with support from IT team.--Excellent
critical thinking skills including financial reasoning, budgeting,
and mathematical skills needed to track multiple financial streams
for a variety of projects.--Excellent interpersonal skills and
telephone demeanor (ability to communicate professionally and
effectively across many audiences including high level executives,
project partners, donors, and team members).--Proficiency and
experience using Microsoft Office 365 products including Word,
Excel, Outlook, PowerPoint, etc. Strong knowledge and experience
using Excel for data management is required.--Positive and flexible
attitude, sense of humor, team player.--Self-motivated with ability
to perform reliably and productively in an unstructured
environment.--Willingness to work occasional evening or weekend
hours.--Commitment to the mission and goals of The Conservation
Fund.--WHAT WE'D LIKE YOU TO HAVEOffice management and
administrative experience preferred.--Familiarity with Microsoft
Office and other computer programs a plus.--Non-Profit organization
experience is a plus.Certified Notary a plus.--PHYSICAL DEMANDS AND
WORK ENVIRONMENT--Position requires sitting or standing at a
desk/computer for extended periods of time.--Position requires
walking and occasional moving of equipment of up to 50 lbs.--Work
is performed in an office setting.Work is frequently performed
under time-sensitive deadlines.--Estimated travel -10%- reliable
transportation to run errands is required.------COMPENSATION
AND--BENEFITS--This is a part-time position. The salary range for
this position is $23 - $26/hour. This position does not include
